Google Workspace (formerly G Suite or Google Suite), includes account setup and maintenance, Gmail, Calendar, Google Drive, and Apps.

What You Need to Know

Google Workspace is a collection of web-based communication and productivity tools that live in your browser (you don’t have to download them) and they can be accessed through an app on your mobile device. All you need is web access.

Capabilities include:

  • Gmail: SJSU email with enhanced privacy
  • Calendar: Schedule sharing and planning for individuals and teams
  • Drive and Docs: File storage plus word processing, spreadsheets and slide decks
  • Google Groups: Web and email groups
  • Meet/Hangouts Chat: A messaging platform built for groups
  • Hangout: Instant messaging between two individuals
  • Google Forms: Create and edit surveys online; includes real time collaboration with other users

How to Access Google Workspace

Go to One.SJSU and search for the application you need (Google email, calendar, analytics, training, etc.).

Students, faculty, and staff with an active One.SJSU account have automatic access.

Getting Started with GMail

How do I access my email the first time?
  1. First-time users, begin by activating your account at SJSUOne Set/Reset Password
  2. Then, to access your email account, go to SJSU Email (SSO Login)
  3. To sign in, use your SJSUOne ID and password—the same ID and password you use to access MySJSU and the campus wireless network
How do I get my SJSU email address?

After you login, you will see your email address (in upper right corner of screen) and it will use the following format:  firstname.lastname@sjsu.edu.

Who gets an SJSU email address?

All active students. 'Active' students are enrolled in courses that are currently in session and these students have paid all of their fees.

When are new SJSU email accounts created?

Accounts for incoming freshmen are created after the NextSteps process has been completed by the applicant. Accounts for new graduate students are created when their applications are accepted.

How long can I keep my SJSU email address?

While you are taking classes at SJSU, your account will be maintained. At the end of your last enrolled semester, a 1-year grace period starts, allowing you to transition off of SJSU’s system. If you re-enroll within that grace period, your 'active' status will be reestablished. At the end of SJSU’s 1-year grace period, you will receive warnings and your account will be deleted.

What if I forget my password?

Campus email uses the SJSUOne password. Passwords will not be provided over the phone. If you have difficulty with your password, you can get a new password, either online or by email, as follows:

Are there advertisements?

SJSU’s email is completely ad-free. You may still receive unsolicited advertising mail (spam) in your inbox. Gmail has excellent anti-spam tools, and using them will help ensure you don’t get much spam.

Google Workspace for Education offers two categories of Google services: Core Services (like Gmail, Drive, Calendar, and Classroom) that are provided under SJSU’s Google Workspace for Education agreement, and Additional Services (like YouTube and Maps) that can be used with Google Workspace for Education accounts. 

Google Workspace for Education requires in its agreement (section 3.5) that schools obtain parent or guardian consent for any Additional Services they allow students under the age of 18 to use.  Consent means that the student will have access to all of the services listed under Additional Services.
